Special Needs and Accessibility
The Chan Centre is a fully accessible building. When approaching the Chan Centre entrance from the top of the stairwell please note that there is an elevator located near the flag pole plaza; south-west of the main doors to the Chan Centre. Take the elevator to level 5, of the Parkade to access the Chan Centre. Special needs parking is available on Level 5 of the Rose Garden Parkade. F.M. Hearing System headsets are also available free of charge for the hearing impaired.
If you are a graduand, faculty or guest in need of captioning or interpreting services for a ceremony, please fill out this form by October 25th (four weeks in advance of graduation) and the Centre for Accessibility will assist with these arrangements. You can also contact 604-822-5844 if you have any questions.
If you are a graduand or faculty member who has physical accessibility needs/mobility issues, please email ceremonies.graduation@ubc.ca by October 25th. Guests who need assistance to get to their seats should arrive 45 minutes before the ceremony start time and identify themselves to a Chan Centre usher upon arrival. Efforts will be made to pre-seat the party prior to the concert hall opening to the public. Public entry to the hall begins 30 minutes prior to the ceremony.
-
Why does it say that my access code is invalid?
Chan ticketing receives a list from Enrollment Services of all the eligible students approved to graduate who have indicated they will attend their Ceremony. If you were not included in this list, then a promo access code has not been validated for you. Please change your ceremony attendance in your Student Service Centre (SSC). Email Enrollment services (graduation@ubc.ca) and they will send your info to Chan Ticketing, if approved, to validate a promo access code for you. Do not contact Chan Ticketing directly regarding your eligibility or changing your attendance status, we're not involved in that process.
-
Why does it say that my access code was accepted, but the Buy button does not appear?
Extra Round: Please refer to the grid on this page that lists the number of Extra Tickets available for your Ceremony. Some ceremonies are particularly large and do not have enough tickets available after the 1st Round of ticketing to allow for an Extra Round. If your Ceremony is one of the ones with no tickets available for the Extra Round, then your only opportunity to book extra tickets will be when any tickets remaining in the system become available on the morning of your Ceremony. Day Of Ceremony sales begin online at 12am (Midnight) on the morning of each Ceremony. Any unclaimed tickets become available with no promo codes or limits, on a first-come, first-served basis. If tickets are still available once the Chan Centre Box Office has opened for the day (1 hr before the 1st Ceremony of the day), those will also be available in person at the box office. Once tickets are sold out, there will be a Standby line created, in case any further seats become available. If no seats are available, guests may watch the livestream. This round is first-come, first-served and without limits. Your best chance is to act promptly at midnight, but there are absolutely no guarantees. Every Ceremony will have some tickets released, but they may go quite quickly if many people are trying to book.

How can I book more than my allotted maximum of 2 complimentary Guest tickets?
Each graduand is guaranteed a MAXIMUM of 2 complimentary Guest tickets up until the 1st Round ticketing closes. No complimentary Guest tickets are available after the 1st Round closes. Anyone who, through some exploit, books more than 2 complimentary Guest tickets will be reported to Grad Services and those tickets will be cancelled. Cancelled tickets will not be honoured at the door. Allotments are governed by Chan Centre capacity - if you are taking more than your 2, then you are preventing fellow students from receiving their allotment and that will not be tolerated.
-
How do you decide how many tickets will be allocated for each Ceremony during the Extra Ticket Round and what if I need more?
We calculate the number of unclaimed tickets remaining in the system after the 1st Round closes and divide by the number of grads attending to determine how many Extra paid tickets, if any, will be available to each graduand in the 2nd Round. These tickets are promo coded and graduands have until 11:59pm PDT the day prior to their Ceremony to reserve the guaranteed amount outlined in the table that will be posted on this page. This ensures fair distribution of tickets for all graduands - please do not call the Ticket Office asking for exceptions. We have limited seats available and every graduand deserves access to the same amount of tickets. Beginning at 12:00am (Midnight) on the day of your Ceremony, if there are any remaining tickets left in the system after the Extra paid ticket round, these seats will be released to the public with no limits and no promo coded required.
-
What if my ceremony is sold out?
As seating is limited and all remaining available tickets are being released at 12:00am (Midnight) on the day of your ceremony, we do not anticipate any extra tickets becoming available on the day of the event. If your ceremony is sold out, your guests are welcome to come early and wait in the Standby line in case of last-minute non-attendance - but there is no guarantee that seats will become available. The Standby line will open up 30 minutes before the ceremony start time - please do not arrive any earlier than this. If you are unable to obtain extra tickets in advance online, we would highly encourage you to view the live webcast. Live webcast will commence 15 minutes prior to each scheduled ceremony.
-
What if my guests arrive late?
Seats are only guaranteed until showtime and latecomers may not be admitted. Remind your guests to arrive in plenty of time. If guests are unable to make it to the ceremony, they may view the live webcast.
-
Does my baby require a ticket to events at The Chan Centre?
Yes. Each guest, including children and infants who might sit on your lap, needs to have a ticket. The ticketing system is designed to ensure everyone’s safety; Fire Regulations dictate the maximum number of people, big or small, who may occupy the room at one time. For more details, please contact 604-822-2697.
-
What if I didn't book my Parking Pass with my tickets?
If you missed booking your Parking Pass during your ticket reservation, you can still book it separately here, up until 24hrs before your Ceremony day. Be sure to select for the correct Ceremony - note that the Parking Pass time is 90mins before the associated Ceremony time. No promo code is required to book your Parking Pass, but you must provide your license plate number after you select your pass(es). If you don't know the license plate at the time of booking, you can enter TBD and email us at tickets@tickets.ubc.ca at least 24hrs before your Ceremony with your order number and the license plate number. Your license plate number is what holds your reservation in the parkade you chose, you don't need to print out the parking pass.
-
I already booked Guest tickets, but now I don't need them
If you no longer need the Guest tickets you booked, please contact the Chan Centre Ticket Office by email or at 604-822-2697 to let us know that you would like to release your tickets. Include your Order# if you have it and/or the email address you used to make your booking. The tickets will be released back into the pool from which other students can book.
-
Can I transfer my e-tickets to someone else?
Yes, once you book your tickets, you'll receive a confirmation email that includes a PDF attachment. The PDF attachment will contain all of your e-tickets. Simply forward the email (including attachment) to the recipient or download the PDF attachment and send along that way. As the event is general admission seating and will not have assigned seat numbers, please assign tickets to recipients using the Unique Barcode Number located on the e-ticket so that guests know which ticket they should be having scanned in.
